Convenience Fees and Late Fees

Add a convenience fee to card and bank account payments, and charge late fees automatically on overdue invoices.

Written by Ben Ryoo

NextKick lets you set up two kinds of fees:

  • Convenience fees: a percentage added to member payments made by card or bank account (ACH)

  • Late fees: charged automatically when an invoice is still unpaid after its due date

Both are set in Settings → Payments, on the Fees tab. Click Save after making changes.

Convenience fees

A convenience fee is a percentage added to a member's payment. You can set a different rate for each payment method:

  • ACH convenience fee (%): for bank account payments

  • Credit card convenience fee (%): for card payments

To charge no convenience fee for a payment method, enter 0.

Each membership keeps its own rate

When a membership is created, it takes the convenience fee rate in your settings at that moment, and keeps that rate. Changing the rate in Settings doesn't change existing memberships, and neither does changing a membership's payment method. The new rate only applies to memberships created after you save.

Example: Your credit card fee is 3% and you change it to 2.5%. Members who joined before the change keep paying 3%, even if they later switch to a new card, and new members pay 2.5%.

Change the rate on a single membership

You can change the convenience fee on any membership that has autopay set up:

  1. Go to Accounts → Profiles and select the student

  2. Open the Membership tab

  3. Find the membership with autopay and click Actions → Edit billing schedule

  4. In the pop-up, change Convenience fee (%)

  5. Click Save changes

The membership's current rate is shown under Billing Information → Convenience fee (%).

Moving existing members to a new rate: after you change the rate in Settings, update each existing membership with the steps above.

Before you set a credit card fee: card network rules and some state laws limit fees added to card payments. Check the rules that apply to your school.

Late fees

When late fees are on, NextKick automatically charges a late fee when an invoice is still unpaid a set number of days after its due date.

Set up a late fee

  1. Go to Settings → Payments → Fees

  2. Under Late fees, turn on Enable late fee

  3. In Apply late fee after how many days, choose how many days after the due date the fee is charged

  4. Under Late fee amount, choose one:

    • Fixed amount: a flat dollar amount added once per unpaid invoice

    • Percentage (%): a percentage of the unpaid invoice amount, charged once per invoice

  5. Click Save

A late fee is charged only once per invoice. It doesn't repeat while the invoice stays unpaid.

Add a late fee to a single invoice

You can also add a late fee to one invoice by hand. This is useful if you only want to charge a late fee in certain cases, instead of turning on automatic late fees for everyone.

  1. Open the invoice from Home → Overdue Invoices, Payments → Invoices, or the student's Invoices tab

  2. Click + Add Late Fee

  3. Enter the late fee and save

The late fee is added to the invoice total.

Before you turn on late fees

Late fee limits vary by state, and most states require your late fee policy to be included in your written agreement with members. Check the rules that apply to your school, and make sure your membership agreement includes your late fee policy before you turn this on.

Common questions

I changed the convenience fee in Settings. Why are existing members still paying the old rate?
A rate change in Settings only applies to new memberships. To update an existing membership, go to Membership → Actions → Edit billing schedule and change Convenience fee (%).

Does changing a member's payment method update their convenience fee?
No. The membership keeps its current rate. To change it, edit the membership's billing schedule.

Why do some members pay a different convenience fee than others?
Each membership keeps the rate that was in place when it was created, unless an admin changed it on that membership.

Can I turn off convenience fees?
Yes. Set the rate to 0 in Settings and click Save. Existing memberships keep their current rate, so update them one by one if you want to remove the fee from them too.

How many times is a late fee charged?
Once per unpaid invoice.
