How to Set Up Memberships for Cash, Check, or Other In-House Payments

NextKick allows you to manage memberships for students who pay directly at your school instead of using automatic online payments.

Written by Zina Kim

If your school accepts cash, checks, Zelle, Venmo, or other in-house payment methods, you can use the Auto Invoice payment option to manage recurring membership charges without automatically charging a student’s credit card or bank account.

What Is Auto Invoice?

Auto Invoice automatically generates invoices based on the membership’s billing schedule without automatically processing payments.

This allows you to:

  • Manage recurring membership payments without automatic charges.

  • Accept payments directly at your school.

  • Keep track of paid and outstanding invoices.

  • Maintain organized payment records in NextKick.

Important: Auto Invoice generates invoices automatically, but payments must be collected and recorded manually.

Step 1: Add a Membership to a Student

  1. Navigate to Accounts → Profiles from the left sidebar.

  2. Search for and select the student.

  3. Open the Membership tab in the student’s profile.

  4. Click Add Membership.

  5. Select the membership plan you want to assign.

Step 2: Select Auto Invoice

When setting up the membership:

  1. Locate the Payment Plan section.

  2. Select Auto Invoice instead of Auto Payment.

  3. Review the membership’s billing amount and schedule.

  4. Complete the membership setup and save your changes.

Once the membership is created, NextKick will automatically generate invoices according to the selected billing schedule.

However, the student’s payment method will not be charged automatically.

Step 3: Record an In-House Payment

When a student or parent makes a payment directly to your school, you can manually record it in NextKick.

  1. Navigate to Payments → Invoices.

  2. Find and select the student’s outstanding invoice.

  3. Click Pay Now.

  4. Select the appropriate payment method.

  5. Complete the payment recording process.

This allows you to keep the student’s billing history updated even when payments are collected outside of NextKick.

Example

A student has a monthly membership fee of $150 and pays in cash at the school.

Membership Setup:

  • Monthly Fee: $150

  • Billing Frequency: Monthly

  • Payment Plan: Auto Invoice

  • Payment Method: Cash (collected in person)

How It Works:

  1. NextKick automatically generates a $150 invoice each month.

  2. The student pays $150 in cash at the school.

  3. A staff member opens the invoice and records the payment.

  4. The invoice is updated to reflect the payment.

The membership continues following its billing schedule without requiring automatic online payments.
