If a student is active but hasn't been charged, the most common reason is a failed payment. Check for one first, then look at the membership's Billing Information and match what you see to the table below.
Step 1: Check for failed payments
Go to Payments → Transaction Errors to see failed charges and the reason for each. A failed charge is retried every 2 days. After 8 failed attempts, about two weeks, the membership becomes inactive. See How to Fix a Failed Payment.
Step 2: Check Billing Information
Open the student's profile and click the Membership tab.
Click the membership to expand it.
Under Billing Information, check the Payment Type, Payment method, payments remaining, Payment count and Next autopay date. Some memberships also show an Autopay status.
Step 3: Find the reason
What you see | Why there's no charge | What to do |
Payment Type is Auto Invoice, or the payment method is Cash/Check | NextKick creates an invoice for each payment but never charges a card. The family pays each invoice, or your staff record the payment. | To charge automatically, click Actions → Change payment method and choose a card or bank account. |
The payment method is In-House Credit Card | NextKick doesn't charge anything. This method is for recording payments your school takes on its own card machine. | To charge automatically, click Actions → Change payment method and choose a card or bank account. |
0 payments remaining, or a Payment count such as (12/12) | Every payment in the plan has been billed. The membership stays active until its end date, with no more charges. | Add payments with Actions → Edit billing schedule, or renew the membership. |
The membership shows Paused or Scheduled Pause | Billing stops during a pause. | To restart billing early, click Actions → Resume membership. |
The membership is Inactive after failed payments | After 8 failed attempts, about two weeks, NextKick makes the membership inactive. | Get a working card on file, then click Actions → Activate membership. |
Autopay status shows Disabled | Someone used End autopay (permanent). The membership stays active but is never charged. | Autopay can't be turned back on for that membership. Add a new one with Add Membership → Replace. |
The Next autopay date is later than expected | The date was moved, for example with Edit billing schedule, a pause or Pay next billing now. | Check Membership History to see who changed it and when. |
The membership has ended | The term is over and auto-renewal was off. | Renew it with Add Membership → Renewal. |
The membership starts on a future date | Billing starts when the membership starts. | Nothing. It starts on its own. |
The student shares a family membership | The charge is on the membership of the family member who holds it, as one combined charge. | Check that family member's profile. |
Step 4: Check all students at once
Go to Payments → Memberships. It lists every autopay membership with its Payment Method, Next Charge, Installment and Status.
Rows showing Auto-Invoice or In-House Credit Card are never charged automatically.
Use the Status filter to find Paused and Inactive memberships, and the Auto Invoice filter to list Auto Invoice memberships.
On Accounts → Profiles, the Payment Info column shows a check mark when a member has a card or bank account on file, and a dash when they don't.
FAQ
If I activate a membership that went inactive, does NextKick charge the missed payments?
No. Activating restarts autopay from the next payment date. Collect missed payments from the overdue invoices with Pay Now.
A family switched to cash. Why do they still get invoices?
That's how Auto Invoice works. An invoice is created 7 days before each due date so the family can pay it. See What Is Auto Invoice? How It Differs from Autopay.
Where can I see every change made to a membership?
Expand the membership and scroll to Membership History. It lists the date, the change, the before and after values, the staff member and the memo.
