Families ask for the same billing changes again and again: skip a month, change the amount, move the billing day, take a break, or stop paying. This guide matches each request to the right option and walks you through the ones that take more than one step.
Before you start
Most changes start from the membership's Actions menu. Open the student's profile, click the Membership tab, click the membership to expand it, then click Actions.
Check Billing Information first. It shows the Payment amount, how many payments are left, the payment method and the Next autopay date.
Always add a memo when you change billing. It appears in Membership History, so anyone can see later why the billing changed.
Which option do I need?
The family wants to... | Use |
Skip a month, or you're giving them a month free | Edit billing schedule (see below) |
Take a break and start paying again later | Pause membership |
Pay a different amount from now on, such as a sibling discount | Edit billing schedule → Autopay Amount($) |
Pay a different amount for one month only | Edit billing schedule plus a one-time invoice (see below) |
Be charged on a different day | Edit billing schedule → Autopay date |
Pay next month's payment early | Pay next billing now |
Use a different card or bank account | Change payment method, or Copy payment update link so the parent can do it |
Pay by cash or check instead of autopay | Change payment method → Cash/Check |
Switch to a different plan | Add Membership → Replace |
Leave the school | Cancel membership, or Schedule cancellation for ongoing memberships |
Skip a month or give a month free
Use this when a family paid for a month another way, for example in cash, or when you're giving them a month free. You move the next charge one cycle later and take one payment off the plan.
Click Actions → Edit billing schedule.
Change the Autopay date to one cycle later. For example, 12/10/2026 becomes 01/10/2027.
Lower the Autopay Installment Count by 1. This field shows the payments still left, so 7 becomes 6.
Add a Memo, such as "Paid December in cash."
Click Save changes.
Ongoing (No Expiry) memberships don't have an installment count. Just move the Autopay date.
If the family should still make every payment and their membership should run a month longer, use Pause membership instead. A pause pushes the end date back.
If the family paid you in cash, record that payment on the student's account from the Invoices tab, so it shows in your reports. See How to Make a One-Time Payment in NextKick.
Pause a membership for a while
A pause stops billing and check-ins for the dates you choose. Unless you keep the membership period, it also pushes the membership's end date back by the length of the pause.
Click Actions → Pause membership.
Under Paused indefinitely, choose NO and set the start and end dates under Pause Period Setup. Choose YES if you don't know when the student will be back.
Turn on Keep Membership Period only if the end date should stay the same.
Set the Next Payment Date. This is the first charge after the pause, and it must be on or after the pause end date.
Add a Memo and click Change.
Good to know:
A pause can start today or later, not in the past. If the student has already been away, start the pause today.
The pause has to end before the membership does. If the membership ends soon, extend it first with Actions → Change end date.
A pause that hasn't started yet can be removed with Actions → Cancel scheduled pause.
To end a pause early, or to bring back a student on an indefinite pause, click Actions → Resume membership and confirm the next payment date.
To make a pause longer, resume the membership, then pause it again with the new dates.
If the membership has a failed payment, pausing stops the retries, but the unpaid invoice stays. Collect it or void it separately.
Change the amount or the billing day
Click Actions → Edit billing schedule.
To change the amount, enter the new Autopay Amount($). Tax and any convenience fee are added on top.
To change the billing day, set the Autopay date to the next charge on the new day. Later charges follow from that date.
Add a Memo and click Save changes.
Changes apply from the next charge. Payments already made don't change.
The new Autopay date becomes the member's billing day, even if the plan uses a fixed billing day.
Moving the date doesn't charge or credit a partial month. If you need to, create a one-time invoice or give a partial refund.
Charge a different amount for one month only
For example, a family should pay $75 next month instead of the usual $150. Don't change the regular amount and plan to change it back later, because it's easy to forget. Instead:
Skip the regular charge for that month. Follow Skip a month or give a month free above.
Charge the one-month amount from the student's Invoices tab. See How to Make a One-Time Payment in NextKick.
Switch plans, change the card, or move to cash
Switch to a different plan: Use Add Membership → Replace. Turn off auto-renewal on the current membership first, because a membership with auto-renewal can't be replaced. See How to Add, Renew, or Replace a Membership.
Use a new card or bank account: Each membership keeps its own payment method. Use Actions → Change payment method on each of the student's memberships, or send the parent the link from Actions → Copy payment update link. See Send a Payment Update Link.
Pay by cash or check: Use Actions → Change payment method and choose Cash/Check. The membership switches to Auto Invoice: an invoice is created 7 days before each due date, and the family pays it. The convenience fee resets to 0%. See What Is Auto Invoice? How It Differs from Autopay.
Change the dates of a membership that hasn't started yet: Use Actions → Edit upcoming membership or Change membership dates. The start date of an active membership can't be changed.
When a family leaves
Cancel membership ends the membership right away and stops future billing. It doesn't refund payments already made. See How to Refund or Void an Invoice in NextKick.
For an ongoing (No Expiry) membership, Schedule cancellation ends it on a date you choose, for example to honor a 30-day notice. The student can attend until the day before that date. Autopay keeps running until then, so a charge scheduled before that date still goes through.
Avoid End autopay (permanent) unless you mean it. The membership stays active, nothing is charged again, and it can't be undone.
Cancelling doesn't void invoices that were already created. Void them yourself if they aren't owed. See Why Is a Former Member Still Receiving Invoices?
FAQ
A family was charged twice when they signed up. Why?
The Down Payment is charged right away, and the first autopay is a separate charge on the First Auto payment date. If both fall on the same day, the family sees two charges. If that wasn't intended, refund one. When the down payment covers the first month, set the first autopay date one cycle after the start date.
I moved the billing date, but a failed payment keeps retrying. Why?
An invoice that already failed keeps retrying every 2 days on its own. Click Actions → Stop retrying failed payment. The membership stays active. Then collect or void that invoice. See How to Fix a Failed Payment.
Does the Autopay Installment Count include installments already billed?
No. It shows the payments still left, the same number Billing Information shows as "payments remaining". Payment count shows how many installments have been billed (charged or invoiced) out of the total.
Where can I see who changed a membership's billing?
Expand the membership and scroll to Membership History. It lists the date, what changed, the before and after values, the staff member and the memo.
