How to Refund or Void an Invoice in NextKick

Refund a paid invoice in full or in part, or void an unpaid one, and what each can't undo.

Written by Ben Ryoo

Use Refund to give money back on a paid invoice, in full or in part. Use Void to cancel an invoice that hasn't been paid. This guide shows both, and what each one can't undo.

Refund a paid invoice

  1. Open the student's profile and click the Invoices tab.

  2. Open the paid invoice.

  3. Under Transaction History, click Refund next to the payment.

  4. Enter the Refund Amount. To refund part of the payment, enter less than the Refundable Amount.

  5. Confirm the refund.

Good to know:

  • A full refund includes the processing fee.

  • Wait 24 hours after an ACH (bank) payment before refunding it.

  • ACH payments processed through BLUU can only be refunded in full.

  • For a payment made more than a month ago, you need to enter the card number and expiration date. Contact NextKick support if you need help.

  • Refunding an autopay payment doesn't change the payment count or create a new invoice.

  • A refunded invoice can't be voided or deleted. It stays on record.

Void an unpaid invoice

  1. Open the student's profile and click the Invoices tab.

  2. Open the invoice.

  3. Click More in the upper-right corner, then Void Invoice.

  4. Enter a Void Reason and confirm.

  • A paid or partly paid invoice can't be voided. Refund it instead.

  • Voiding an invoice also deletes its scheduled payment.

  • Only voided invoices can be deleted. To remove a stray invoice from the list, void it first, then delete it.
