Bulk Invoice creates one invoice per member for the same charge. Use it for one-time charges that several members owe, such as a uniform order, a seminar fee or a field trip.
Note: Bulk Invoice is not for memberships. To bill a membership, use Add Membership on the student's profile.
Open the Bulk Invoice form
Go to Payments → Invoices.
Click Create Invoice in the top right.
Choose Bulk Invoice (Members). The Create Bulk Invoice window opens.
Fill in the invoice
Field | What to enter |
Member (required) | Search for and select every member who should get this invoice. Each member gets their own invoice. |
Revenue type (required) | The category for this charge, such as Event, Testing, eStore or Other. It decides where the income appears in your reports. Membership isn't available here. |
Payment due (required) | The date the invoice is due. It's set to today by default. |
Product Name | What the charge is for, e.g. "Fall Tournament Fee" or "Uniform." Members see this on their invoice. Up to 80 characters. |
Payment Amount (required) | The amount each member owes, before tax. |
Tax (%) | Tax added to the amount. Enter 0 if you don't charge tax. |
When everything looks right, click Create.
Example: You select 12 members, choose Event as the revenue type, enter "Fall Tournament Fee" with a Payment Amount of $50 and Tax of 0. NextKick creates 12 separate invoices of $50, one for each member.
After you create the invoices
The new invoices appear in Payments → Invoices with a Pending status. If an invoice isn't paid by its due date, it shows as Overdue.
To find them later, search by member name or filter the list by revenue type and date.
Common questions
Can I bill a membership with Bulk Invoice? No. Membership charges come from the membership itself. Use Add Membership on the student's profile.
Can I charge different amounts to different members? Not in one bulk invoice. Every selected member is charged the same amount. Create a separate bulk invoice for each amount, or edit a single invoice afterward.
Does a coupon work on a bulk invoice? Yes, if the invoice's revenue type is one of the coupon's eligible charges. The member enters the code when paying the invoice.
I made a mistake. How do I fix it? Open the invoice in Payments → Invoices and void it, then create it again. See How to Refund or Void an Invoice.
