Overview
Coupons let you take a percentage or a fixed dollar amount off a charge at checkout, without changing the item's regular price. You create and manage them under Payments → Coupons.
Each coupon controls which charge types it applies to, how much it takes off, how many times it can be used, and when it expires. Use them for promotions, sibling or family discounts, pro shop sales, or one-time fee waivers.
How to create a coupon
Go to Payments → Coupons.
Click Add New Coupon in the top right.
Fill in the fields below.
Click Save. If Coupon Active is on, the coupon can be used right away.
Field | What it does |
Coupon Active | On = the coupon can be used now. Turn it off to pause the coupon without deleting it. |
Coupon Code (required) | The code entered at checkout, e.g. SAVE10. Keep it short and easy to type. |
Coupon Name (required) | The name shown under the code in your coupon list, e.g. "Summer Promotion." |
Description | Optional note, e.g. who the coupon is for. |
Eligible charges (Revenue type) (required) | Which revenue types the coupon can discount: Membership, Event, Testing, eStore, Other. Select one or more. |
Membership payment options (required for memberships) | Appears when Membership is selected. Choose which membership payments the coupon applies to: Full payment, Auto payment: initial payment, Auto payment: first charge only. See Coupons on memberships below. |
Discount Type (required) | Percentage (e.g. 10% off) or Fixed amount (e.g. $20 off). |
Amount (required) | The percentage or dollar amount of the discount. |
Unlimited total uses | On = no cap on how many times the coupon can be used in total. |
Unlimited uses per customer | On = each customer can use the coupon any number of times. |
Expires | Optional end date. Leave it blank for no expiry. |
Usage limits and expiry
Three settings control how long a coupon lasts and how often it can be used. Whichever limit is reached first ends the coupon.
Total uses: turn off Unlimited total uses to cap redemptions across all customers, e.g. the first 20 sign-ups.
Uses per customer: turn off Unlimited uses per customer to limit how often one customer can use it, e.g. once each.
Expiry date: after this date the coupon shows as Expired and can no longer be used.
For example, a coupon limited to 50 total uses, 1 use per customer, and expiring on the last day of the month stops working at 50 redemptions or at month end, whichever comes first.
Coupons on memberships
Coupons apply to one invoice at a time, not to the membership itself. A coupon never changes a membership's regular price.
When Membership is an eligible charge, choose which membership payments the coupon applies to under Membership payment options. Select one or more:
Full payment: a membership paid in full at once.
Auto payment: initial payment: the down payment collected when a membership is sold, before auto payments begin.
Auto payment: first charge only: only an auto payment invoice that's created at the time of sale. This happens when the first auto payment date is today, or within 7 days for cash or check. If no auto payment invoice is created then, the coupon doesn't apply to auto payments.
What a coupon can discount depends on where the membership is sold:
Where the membership is sold | Initial or full payment | Auto payment |
Admin (adding a membership manually) | Yes, in the Coupon field | Only the auto payment invoice created at the time of sale, in the Auto payment coupon field |
Online form (Membership Registration) | Yes, full payment or initial payment (down payment) | No |
Any card convenience fee is calculated on the discounted amount. For example, SAVE10 ($5 off) on a $100 initial payment brings it to $95, plus a 3% card fee of $2.85, for $97.85 due.

FAQ
Should I use a coupon or change the price? Use a coupon when only some customers should get the discount. Changing the price affects everyone.
Can one coupon cover several charge types? Yes. Select every charge type it should apply to under Eligible charges, e.g. Event and Testing.
Can I limit a coupon to one specific event or product? No. Coupons are limited by charge type, not by item. Use an expiry date to tie a coupon to one event's registration period.
Does a coupon check who is using it? No. Anyone with the code can use it, so share codes only with the customers you intend. Use usage limits to control how often it's used.
What happens when a coupon expires? It shows as Expired in your list and can't be used at checkout. Edit the expiry date to reactivate it.
Does a coupon discount every monthly payment? No. Coupons apply to one invoice, so a coupon set to Auto payment: first charge only discounts at most one auto payment (the one created at the time of sale). For an ongoing discount, such as a sibling rate, set the amount on the student’s membership instead.
What if the coupon is worth more than the charge? The coupon discounts up to the eligible amount, and the leftover coupon value is lost. It still counts as one use.
Does a coupon discount an event or testing late fee? No. On an event or testing registration, the coupon discounts the fee and its tax. Any late fee is charged in full.
How does a coupon work on a family registration? The coupon is applied once to the family's total, not once per family member.
Where can a coupon be entered? When an invoice is paid, and when a membership is sold in the admin or through an online form. On an online form, coupons apply only to the full payment or the initial payment (down payment).
