How to Create an Event in NextKick

Set up tournaments, seminars, camps and other events with their own schedule, pricing and registration rules.

Written by Ben Ryoo

Overview

Events let you publish anything members sign up for outside regular classes — tournaments, seminars, camps, Parents' Night Out — with its own schedule, pricing and registration rules. Belt tests are set up separately under Events → Testing (see How to Run a Belt Test). Setting up an event takes five sections on a single form: Basic Information, Event Schedule, Fees & Pricing, Reservation Settings, and Registration Settings.

First, decide which event type you need:

Event type

Use it when

Example

Single Event

The event happens once, in one session

Parents' Night Out, a tournament, a guest seminar

Group Event

The event has several sessions and members choose which ones to attend

A 4-week summer camp, a multi-day clinic

Group Events also unlock per-session pricing and tiered discounts for members who book multiple sessions.

Getting started

  1. In the left sidebar, click Events, then Events Management.

  2. You'll see every event your school has created, with its type, name, number of sessions, registration period and applicant count.

  3. Click Add Event in the top-right corner to open the event form.

Tip: if you're creating something similar to an event you've run before, click the Duplicate icon next to it instead. Its settings and description are copied over, so you only need to update the dates.

Step 1: Basic Information

This section sets what the event is and who can see it. Fields marked with a red asterisk (*) are required.

Basic Information section of the Add Event form

Field

What to enter

Event Type*

Single Event (one session) or Group Event (multiple sessions members choose from). The rest of the form changes based on this choice.

Event Name*

The name members will see. Maximum 50 characters.

Description

Details such as what to bring, dress code, or who the event is for. You can format text, add bulleted or numbered lists, and insert links and images.

Calendar Color*

The color the event appears in on your school Calendar. Pick a distinct color so staff can spot it at a glance.

Attach Image

An optional banner or flyer. One image, up to 5 MB, in PNG, JPG, JPEG, WebP or GIF format. Drag and drop it or click to browse.

Target*

Who the event is for (see below).

Choosing a target

  • All — every member of your school is eligible to register.

  • Group — only members of the group you select can register.

  • Rank System — only members holding the rank you select can register. Useful for black-belt-only events.

Choosing a target does not add members to the event automatically. It narrows your member list so you can find and invite the right people faster.

Step 2: Event Schedule

This section sets when the event happens and how many people can attend. A Single Event has one session; a Group Event can have as many as you need.

Event Schedule for a Single Event

Field

What to enter

Title*

The session name, e.g. "Week 1" or "Saturday Morning Clinic".

Start Date* / End Date*

The session's first and last day (MM/DD/YYYY). For a one-day session, use the same date for both.

Start Time* / End Time*

When the session begins and ends.

Duration

Length of the session in hours and minutes.

Capacity*

The maximum number of registrations. Check No Limit if there's no cap.

Event Fee

Group Events only: the price of this session. (For Single Events, the fee is set in Fees & Pricing.)

Adding sessions to a Group Event

  • A Group Event starts with two sessions. Fill in each one.

  • Click + Add Session to add another.

  • Click the Duplicate icon on a session to copy it — the quickest way to build a weekly series, since you only change the dates.

  • Click the red Delete icon to remove a session.

Step 3: Fees & Pricing

This section sets what members pay. Leave every fee at $0 for a free event.

Field

What it does

Event Fee

Single Events only: the price of the event. (Group Events set a fee on each session in Step 2.)

Tax (%)

The tax rate applied to every session in the event.

Registration Fee

A one-time fee charged once per event, even if the member books several sessions or more sessions are added later.

Pricing Options

Group Events only: choose No discount or Tiered Discount by Sessions (below).

Late Fee

Turn on to charge an extra fee for registrations made after the cutoff date.

Tiered Discount by Sessions (Group Events)

Reward members who sign up for more sessions with a per-session discount that grows with the number they book. For example: book 2 sessions and get $10 off each; book 3 and get $20 off each.

To set it up:

  1. Select Tiered Discount by Sessions.

  2. Choose Fixed value (a dollar amount off each session) or Percentage (a percent off each session).

  3. Enter a discount for each tier. NextKick shows one tier for every possible number of sessions, from 2 up to the total in your event. For example, an event with 5 sessions shows tiers for 2, 3, 4 and 5 selections.

  4. Click View sample receipt to preview what a member will pay.

Tiered Discount by Sessions with a tier for each number of selections

With $50 sessions, that member would pay $80 for 2 sessions (2 × $40) or $90 for 3 sessions (3 × $30), plus any registration fee and tax.

If you're creating a Single Event, the discount options are hidden. Switch the event type to Group Event at the top of the form to use them.

Step 4: Reservation Settings

This section sets when registration closes. Choose one of two options for Reservation Cut-off Time*:

Reservation Settings with cut-off options
  • Booking closes before event starts — registration stays open until a set time before the event begins. Pick a number and a unit (for example, 1 hour or 3 days). The default is 1 hour.

  • Date Range — registration is open only between two dates you choose. Use this for early sign-up windows, such as opening summer camp registration in April. You can also set the end date after the event date to allow make-up registration: members who missed the event can still register and pay until the end date.

Your choice appears in the Registration Period column of the event list, e.g. "Closes 3d before start" or "04/29/2027 – 05/30/2027".

Step 5: Registration Settings and Tags

These optional switches control what members see and agree to when they sign up. All are off by default.

Registration Settings toggles

Setting

Turn it on to

Create a sign-up form for this event

Automatically create an Event Registration form connected to this event, with a shareable link and QR code, so non-members can register right away. (See "Let non-members register with a form" below.)

Add Registration Survey

Ask custom questions on the registration form, e.g. T-shirt size, uniform size or allergies.

Custom Page Link

Send members to a page of your choice after they register, such as a thank-you page or event details on your website.

Agreement

Require members to accept your terms and conditions (e.g. a waiver) before registering.

Hide from students

Keep the event out of the student view. Use this for staff-only or invite-only events, or to finish setting up an event before announcing it.

Tags

Click Select Tags to label the event (e.g. "Tournament", "Testing", "Camp") so you can find and group events later.

Save the event

Review each section, then click the save button at the bottom of the form. The event appears in your Events Management list and on the Calendar in the color you chose.

Let non-members register with a form

Events are open to your school's members by default. To let new families and other non-members sign up, connect the event to an Event Registration form. The quickest way is to turn on "Create a sign-up form for this event" in Registration Settings (Step 5), which creates a connected form for you. To connect a form yourself after saving the event:

  1. In the left sidebar, go to Marketing Tools > Forms.

  2. Choose Event Registration.

  3. Connect the form to the event you just created.

  4. Once the form is created, you'll get a shareable link and a QR code. Post the link on your website, social media or in emails, and print the QR code on flyers or display it at your front desk so anyone can scan and register.

This is the easiest way to fill seats for open events like summer camp, Parents' Night Out or a community seminar, and to bring new leads into your school.

Example: Setting up summer camp registration

Summer camp is the most common use for a Group Event. Each camp week is its own session, so parents pick the weeks they need and pay only for those. Here's a sample setup for an 8-week camp, Monday to Friday, 9:00 AM to 3:00 PM. The numbers are only examples.

  1. Basic Information

    • Event Type: Group Event

    • Event Name: "Summer Camp 2027"

    • Description: daily schedule, what to bring, drop-off and pick-up times, uniform policy

    • Attach Image: your camp flyer

    • Target: All so every member can register (or Group to limit camp to one class or program)

  2. Event Schedule

    • Session 1: Title "Week 1", June 28 to July 2, 9:00 AM to 3:00 PM, Capacity 30, Event Fee $300

    • Click the Duplicate icon on Week 1 to create Week 2, then change only the title and dates. Repeat until you have all 8 weeks.

    • Give a theme week a different fee if it costs more (e.g. a field-trip week).

  3. Fees & Pricing

    • Registration Fee: $50. Charged once, however many weeks a family books (good for a camp T-shirt or supplies).

    • Pricing Options: Tiered Discount by Sessions, Fixed value. With 8 weeks, you'll see tiers for 2 through 8 selections. For example: 2 weeks: $10 off each, 3 weeks: $20 off each, and $30 off each for 4 weeks or more (enter $30 in the 4, 5, 6, 7 and 8 selection tiers).

    • Late Fee: turn on if you want to charge more for last-minute sign-ups.

  4. Reservation Settings

    • Choose Date Range and set the registration window, e.g. March 1 to June 21. This lets you run early registration and close sign-ups a week before camp starts.

  5. Registration Settings

    • Add Registration Survey: ask for T-shirt size, allergies, emergency contact and authorized pick-up person.

    • Agreement: require parents to accept your camp waiver and policies.

    • Hide from students: turn on while you're building the event, then turn it off when you're ready to open registration.

  6. Tags: add a tag such as "Summer Camp" so you can find this year's and past camps quickly.

Open camp to new families: turn on "Create a sign-up form for this event" in Registration Settings, or after saving, connect the event to an Event Registration form under Marketing Tools > Forms (see the section above). Then share the form's link or QR code (a QR code on your camp flyer works well) so non-members can sign up too.

With this setup, a family booking 4 weeks pays 4 × $270 = $1,080, plus the $50 registration fee and any tax. Next year, duplicate the whole event and update the dates instead of starting from scratch.

Managing your events

Every event you create is listed on the Events Management page. From there you can:

  • Search — type an event name in the search bar to find it quickly.

  • Edit (pencil icon) — change any of the event's details.

  • Duplicate (copy icon) — create a new event with the same settings and description, ideal for recurring events like a monthly Parents' Night Out.

  • Delete (red trash icon) — permanently remove the event.

  • Export — download your event list.

The Applicants column shows how many members have registered for each event so far.

To share all your open events at once, click Share Event Link on the Events Management page. You get one link and QR code that lists every event open for sign-up. See How to share your events with a link or QR code.

Frequently asked questions

I can't find the discount options. Tiered discounts are only available for Group Events. Change the Event Type at the top of the form to Group Event.

Does choosing a Target invite members automatically? No. The target controls who is eligible and narrows your member list so you can invite the right people. It doesn't register or notify anyone.

How do I make a free event? Leave the Event Fee, Registration Fee and Tax at 0.

Will members be charged the registration fee for every session? No. The registration fee is charged once per event, no matter how many sessions a member books.

My image won't upload. Check that it's a single PNG, JPG, JPEG, WebP or GIF file under 5 MB.

Can I set up an event before members can see it? Yes. Turn on Hide from students in Registration Settings, then turn it off when you're ready to announce the event.

My event name is cut off. Event names are limited to 50 characters. Put extra detail in the Description instead.

Can non-members register for an event? Yes. Turn on "Create a sign-up form for this event" in Registration Settings, or after you create the event, go to Marketing

Tools > Forms > Event Registration and connect the event to a form. Share the form's link or QR code, and anyone who opens it can sign up.
