How to Add, Renew, or Replace a Membership

Add a new membership to a student, renew an existing one, or switch a student to a different plan from the Add Membership screen.

Written by Ben Ryoo

Use Add Membership on a student's profile to start a new membership, renew one that's ending, or switch the student to a different plan. This guide explains the three options and walks you through each step.

Before you start

  • Create the membership plan first. See How to Create a Membership Plan.

  • Add the student to NextKick. See How to Add a New Member.

  • To renew or replace a membership, turn off its auto-renewal first in Actions → Auto-renewal settings. Renewal and Replace don't work while auto-renewal is on.

  • To have a membership renew on its own, use auto-renewal instead. See Membership Actions menu: what each option does.

Step 1: Open Add Membership and choose an option

  1. Open the student's profile.

  2. Click the Membership tab.

  3. Click Add Membership.

  4. At the top, choose New, Renewal, or Replace.

Option

When to use it

What happens

New

The student is starting a membership, or adding a second one like an add-on class

The new membership is added. Existing memberships don't change.

Renewal

A membership is ending and the student is signing up again

The new membership starts on the start date you choose. The old one ends on that same date.

Replace

The student is switching plans, such as upgrading from 2x a week to unlimited

The new membership starts on the start date you choose. The old one ends on that same date.

Tip: Renewal and Replace work the same way. Pick the one that describes what's happening, so your Membership History stays easy to read.

If you chose Renewal or Replace, select the membership that's ending in Membership to renew or Current membership.

Step 2: Fill in the membership details

  1. Choose a Plan Type: Main for the student's main program, or Add-on for an extra class.

  2. Select the Membership Name. NextKick fills in the Course Period, Start Date, and End Date from the plan.

  3. Check the Start Date. It defaults to today.

  4. To share this membership with family members, check their names under Add Family Members to this Membership.

  5. Optionally, add a Class, Group, or Tag.

  6. Click Continue.

Tip: For a renewal at the end of a term, change the Start Date to the day the current membership ends. Otherwise the old membership ends today.

Step 3: Set up billing and finish

First, decide how the student will pay:

Payment Plan

What it does

Full Payment

The student pays the whole amount once. You set the Payment amount and Payment Due Date.

Auto Payment

The card or bank account on file is charged on a schedule. You set the down payment, autopay amount, frequency, first autopay date, and installment count.

Auto Invoice

Invoices are created on a schedule, but nothing is charged automatically. The family pays each invoice.

  1. Choose the Payment Plan and fill in its fields.

  2. Check the Signup fee. It's $0 for renewals and replacements, and the plan's signup fee for new memberships. Enter 0 to waive it.

  3. Optionally, turn on Auto-renewal so the membership renews by itself when it ends.

  4. Choose a Payment Type: Cash/Check, In-House Credit Card, or Add payment method. Add a Coupon if you have one.

  5. Review the Payment Summary.

  6. Under Sign Agreement Via, choose On-Site to sign now, or Member App & Email to send the agreement to the family.

  7. Fill in the Buyer Information for the parent or guardian, and collect a Signature if signing on-site.

  8. Click Confirm & Create.

Tip: With Auto Payment, you can prorate the first month. Click Calculate prorated amount, and the prorated amount is charged with the first payment as a separate line.

FAQ

What's the difference between Renewal and Replace? They work the same way. The new membership starts on the start date you choose, and the old one ends that day. Use Renewal when a student signs up again and Replace when they switch plans.

How do I upgrade or switch a student to a different plan? Use Add Membership → Replace. Select the student's current membership, then choose the new plan.

What happens to the old membership? It changes to Inactive on the start date of the new membership, and its autopay stops. Its Membership History shows the status change from Active to Canceled. For a replacement, the memo reads "Replaced by new membership."

Why can't I renew or replace a membership? Check whether auto-renewal is on. Renewal and Replace don't work while it's on. Turn it off in Actions → Auto-renewal settings, then try again.

Will the student pay the signup fee again? No. The Signup fee defaults to $0 for renewals and replacements. You can enter an amount if you want to charge one.

Can a membership renew without me doing it each time? Yes. Turn on Auto-renewal when you add the membership, or later from the membership's Actions → Auto-renewal settings. See Membership Renewals, Explained.

Can I add a second membership without ending the first? Yes. Choose New. For an extra class, set the Plan Type to Add-on.
