A payment PIN adds a second lock to your school's money pages. When it's on, NextKick asks for a 4-digit PIN before anyone can open the Payments pages or see revenue on the Home dashboard. This guide shows how to set the PIN, what it locks, and how to change or turn it off.
Before you start
You need access to Settings → System & Security.
There is one PIN for your whole school. Everyone who needs the payment pages uses the same 4 digits.
Choose digits that are hard to guess. Avoid 1234, 0000 or your school's street number.
Step 1: Open the Security tab
In the left sidebar, click Settings → System & Security.
Click the Security tab.
Step 2: Turn on the PIN and save
Under Staff access, turn on Require a PIN for payment access.
In the PIN box, enter a 4-digit number.
Click Save.
Tip: Share the PIN only with the people who handle payments. If someone with the PIN leaves your school, change it.
Step 3: Know what the PIN locks
Where | What happens |
Payments → Transaction Errors | Asks for the PIN before the page opens. |
Payments → Transactions | Asks for the PIN before the page opens. |
Payments → Invoices | Asks for the PIN before the page opens. |
Payments → Tax & convenience fees | Asks for the PIN before the page opens. |
Payments → Memberships | Asks for the PIN before the page opens. |
Home dashboard | The revenue card shows a lock and an Enter PIN button instead of the numbers. |
NextKick asks for the PIN each time one of these pages is opened.
Coupons in the Payments menu isn't locked.
Step 4: Enter the PIN to open a locked page
When a locked page is opened, the Payments Menu Lock window appears.
Click the 4 digits on the keypad. Use the ⌫ key to fix a mistake.
Click Check.
If the digits are wrong, NextKick shows Invalid PIN. Check the digits and try again.
Step 5: Change or turn off the PIN
Once a PIN is set, the Security tab is locked too. You need the current PIN to change it.
Go to Settings → System & Security and click the Security tab.
Click Enter PIN and enter the current PIN.
To change the PIN, enter the new 4 digits in the PIN box. To remove the lock, turn off Require a PIN for payment access.
Click Save.
FAQ
Can each staff member have their own PIN?
No. The PIN is shared by everyone at your school. To control who can see payment pages at all, use staff permissions.
Does the PIN replace staff permissions?
No, they work together. Access Control decides which menus each staff member can open. The PIN adds a second check on payment pages. See Staff Permissions: What Each Access Control Setting Covers.
Do owners and admins have to enter the PIN too?
Yes. Once the lock is on, everyone at your school is asked for the PIN on locked pages, including owners and admins.
What if we forget the PIN?
