Families can sign up for your events on their own, and you can also register a student yourself from the admin. This guide shows each way, how to sign up several children, and how to export who's registered.
Before you start
Create the event. See How to Create an Event in NextKick.
To let new families sign up, turn on Create a sign-up form for this event. See How to Share Your Events with a Link or QR Code.
Ways to register for an event
Who's signing up | How |
A current student or their parent | They register themselves in the student app. |
A new family, or anyone who isn't a student | They use the event's sign-up form or your shared events link (Step 2). |
You, for the family | Take the event fee from the student's profile, or add them to a hidden event (Step 1). |
Step 1: Register a student yourself
Any event: take the event fee. Taking the fee here registers the student for the event.
Open the student's profile and click the Invoices tab.
Click Add Payment.
For Revenue type, choose Events. Click Select Event, choose the event and click Select.
Under Select events, check the session and enter its price.
Choose how the family is paying, such as Cash, and click Pay Now.
Payments you take here are charged the full registration fee, and the event's discounts aren't applied.
Hidden events: add candidates. For a private event, such as a team-only seminar, turn on Hide from students for the event. The Add Candidates button then appears on the event's Candidates tab.
Go to Events → Events Management and open the event.
On the Candidates tab, click Add Candidates and choose the students.
If the event has a target, Add Candidates lists only members in the target.
Each student you add gets an invoice for the event fee, which the family can see and pay in the student app. The event itself stays hidden from students.
Step 2: Share the sign-up form or events link
New families sign up through the event's form or your shared events link. They don't need the student app or an account.
One event: go to Marketing Tools → Forms, open the event's form, click Share and Copy Link.
All your events: go to Events → Events Management and click Share Event Link. See How to Share Your Events with a Link or QR Code.
The events link shows events in the next 6 months that are visible to students and have a sign-up form turned on. Events that are closed or full are hidden.
If the event doesn't have a form yet, create one in Marketing Tools → Forms with the Event Registration template. See How to Create a Sign-up Form.
Step 3: Register several children
Turn on Allow Multiple Participants on the event's form. Families then add each child with + Add family member. When it’s off, the button doesn’t appear.
Don't add custom questions such as "2nd child's name" to collect siblings. They don't register anyone.
For questions such as T-shirt size or allergies, turn on Add Registration Survey in the event's Registration Settings.
Step 4: Export who's registered
Go to Events → Events Management and open the event.
On the Candidates tab, click Actions → Export, then confirm.
The file has a sheet for each session, with each student's details, status, survey and fee. Events with several sessions also get an All sessions sheet. The Payments sheet lists each invoice with its Sessions Total, Registration Fee, Late Fee, Discount, Total, Paid and Status.
Good to know
An event's start date can't be in the past.
The event image can be up to 5 MB.
To keep taking registrations after the event date, set the registration end date after it.
Past events stay in your Events Management list for your records. To remove one, click its red trash icon. This permanently deletes the event, but doesn't cancel invoices families already have. Void any unpaid invoices for it first.
FAQ
Do families need the student app to sign up?
No. Current students can sign up in the app, but the event form and shared events link work in any web browser.
An event isn't showing on my shared events link. Why?
Check that it's visible to students, has a sign-up form that's turned on, still has open registration and spots, and takes place in the next 6 months.
Why can't I find Add Candidates on my event?
It appears only when Hide from students is on. For other events, take the event fee from the student's profile (Step 1).
