How to Enroll a New Student

Sign up a new student at the front desk or let the family enroll online: create their profile, add a membership, take payment and collect the signed agreement.

Written by Ben Ryoo

Enrolling a new student in NextKick takes three things: a member profile, a membership with payment, and a signed agreement. You can do all three at the front desk, or send the family a link so they do it from home. This guide shows both, and when to use each.

Before you start

  • Create your membership plans. Turn on Terms and Conditions on a plan if families should sign an agreement. See How to Create a Membership Plan.

  • To take card payments, connect a payment provider. See How do I connect a payment provider?

  • Check that the student isn't already in NextKick. Search Accounts → Profiles with the Status filter cleared, so leads, trial students and former members show up too.

Situation

What to use

The family is at your school

Option 1: Enroll at the front desk

The family will sign up and pay from home

Option 2: Send an online form

A walk-in wants to sign up on your front desk tablet

Option 3: The kiosk

The student is already in NextKick as a lead or trial student

Option 1 from their profile, or Option 2. Don't add them again.

You're moving many students from another system

Option 1: Enroll at the front desk

Use this when the parent is with you. You can finish everything in one visit, including the signature.

Step 1: Add the member

  1. Go to Accounts → Profiles and click Add Member.

  2. Enter the student's name, email, phone and gender. For a child, use a parent's email and phone, and add the parent under Parents Contacts.

  3. Click Add. The student is added with the status Lead.

Enrolling siblings too? Add them with Add family member in the same form. See How to Add a New Member for every field.

Step 2: Add the membership

  1. On the student's profile, open the Membership tab and click Add Membership.

  2. Choose New, set Plan Type to Main, and choose the Membership Name.

  3. Check the Start Date. To share the membership with a sibling, check their name under Add Family Members to this Membership.

  4. Click Continue.

Step 3: Choose how they'll pay

  1. Choose a Payment Plan: Full Payment (paid once), Auto Payment (the card on file is charged on a schedule) or Auto Invoice (invoices are sent on a schedule and the family pays each one).

  2. Check the Signup fee. Enter 0 to waive it.

  3. Choose the Payment Type: Cash/Check, In-House Credit Card, or Add payment method to save the family's card.

  4. Add a Coupon if you're giving a new-student discount.

Tip: If the family pays in cash or by check each month, choose Auto Invoice. See How to Set Up Memberships for Cash, Check, or Other In-House Payments.

Step 4: Collect the agreement and finish

  1. Under Sign Agreement Via, choose On-Site.

  2. Fill in the Buyer Information for the parent or guardian, and have them sign in the Signature box.

  3. Review the Payment Summary and click Confirm & Create.

The membership is added, and the student's status changes to Active.

Note: If you choose Member App & Email instead, the agreement is emailed to the family to sign later. Payments don't wait for the signature, so the first payment still goes through on schedule.

Option 2: Let the family enroll online

Send the family a link to a Membership Registration form. They choose a membership, enter their details and card, sign the agreement and pay, all from their phone. It's NextKick's checkout page for memberships.

Step 1: Create a Membership Registration form

You only need to do this once. Reuse the same form for every new family.

  1. Go to Marketing Tools → Forms and click Add new form.

  2. Choose Membership Registration and click Continue.

  3. Enter a Form Title, such as "Join Our School," and click Continue.

  4. Under Registration, check the memberships families can choose from. Families only see the plans you check.

  5. Under Payment Methods, keep Credit Card on. Turn on ACH to let families pay from a bank account, and Cash if they can pay at the desk.

  6. Keep Email validation on, then click Save.

If a plan has Terms and Conditions turned on, the agreement and signature are added to the end of the form for you. See How to Create a Sign-up Form for every option.

Tip: Allow Multiple Participants is on by default, so a parent can sign up siblings in the same form.

Step 2: Send the link

  1. In Marketing Tools → Forms, open the form and click Share.

  2. Click Copy Link, or Download the QR code.

  3. Send the link to the family by email or text, or post it on your website.

Tip: Want different families to see different plans, such as kids and adults? Make one form for each, using Actions → Copy on the first form. Copies start as Inactive, so set the copy to Active before you share it.

Step 3: What the family sees

The family picks a membership and how to pay, such as paying in full or a down payment plus monthly autopay.

Before they submit, the form shows how much is charged today and when autopay starts. The down payment is charged as soon as they submit.

Step 4: Check the sign-up

When the family submits the form, the student and their membership appear in NextKick. Open the form in Marketing Tools → Forms to see each submission, or find the student in Accounts → Profiles.

If the family paid by card, the card is saved for their autopay. If they chose Cash, no card is saved.

Already in NextKick? If the family's email belongs to an existing member, such as a lead or trial student, the form asks them to verify it with a 6-digit code. The membership is then added to their existing profile, so you don't get a duplicate.

Tip: Ask families to always use the email they're registered with. Then their memberships, event sign-ups and eStore orders all go to the right student, instead of creating a new account.

Use the right form type. A Lead Capture form only collects contact details from people who are new to your school. It doesn't add a membership or take payment, and an email that's already in NextKick can't be used on it. For trial plans, use a Trial Sign-up form. See How to Manage Leads and Trial Students.

Option 3: Let walk-ins sign up on the kiosk

Your front desk tablet can take sign-ups too. Visitors tap Become a Member on the kiosk, choose one of your Membership Registration forms, then pick a plan from that form. Trial sign-up forms aren't listed there.

Tip: The kiosk shows each Membership Registration form by its title, so give your forms names families will understand, such as "Kids Program (Ages 6–12)." A plan only appears on the kiosk if it's checked on one of those forms. Inactive forms don't appear, so set old or test forms to Inactive.

  1. Go to Settings → System & Security → System.

  2. Next to Kiosk menu, click Manage.

  3. Make sure Become a Member is turned on, then click Save.

FAQ

Do parents need the NextKick app to enroll?

No. The online form works in any web browser. They can download the app afterward.

The family isn't at the school. Can I still enroll them?

Yes. Send them your Membership Registration form (Option 2). They enter their own card and sign the agreement on the form, so you don't need their card details.

Is there a checkout page, like in Spark?

Yes. For memberships, use a Membership Registration form (Option 2). For a one-time charge, such as a uniform, use a payment link. See How to Make a One-Time Payment in NextKick.

Two siblings are enrolling. Do they each need a membership?

Not always. They can share one family membership with one payment, or each get their own membership with its own price. See How to Set Up a Family Membership.

How do I give new students a discount when they sign up?

Use a coupon instead of making extra plans. Create it under Payments → Coupons with Membership as an eligible charge. A coupon is a one-time discount. It doesn't lower the autopay payments that follow. See Coupon Codes: Create and Manage Discounts at Checkout.

Can a family pay the down payment in cash and the monthly payments by card?

Not on the same membership. The down payment is charged right away, with the same payment type as the monthly payments. On the online form, it's charged as soon as the family submits.

NextKick says the email is already in use, but I can't find the student.

They may already have a profile with another status, such as Former Member. On Accounts → Profiles, clear the Status filter and search again. See Member Statuses, Explained.
