Member Statuses, Explained

What each member status means, which ones NextKick sets for you, and how to filter by or change a status.

Written by Ben Ryoo

Every profile in NextKick has a status, such as Lead, On Trial or Active. This guide explains what each status means, which ones change on their own, and how to change one yourself.

Before you start

Step 1: Learn what each status means

Status

What it means

How it's set

Lead

Interested, but not on a trial or membership yet.

Automatic. A newly added member starts as Lead.

Frontkick Lead

A lead from a website built by NextKick's FrontKick service.

Automatic.

Sidekick Lead

A lead from NextKick's SideKick marketing service.

Automatic.

On Trial

Currently on a trial.

Automatic, when a trial membership is added or the person signs up with a trial form. You can also choose it.

Former Trial

Finished a trial but didn't join.

You change it.

Active

A current member with an active membership.

Automatic, when an active membership is added. You can't choose it yourself.

Paused

A member whose membership is paused.

Automatic, when a membership is paused.

Inactive

Someone who isn't training right now. Their memberships aren't cancelled.

Automatic when their membership ends. You can also choose it.

Former Member

Someone who has left your school.

You change it. This cancels all of their memberships.

Event

Someone who signed up for an event but isn't a member.

Automatic.

Afterschool

A student in your after-school program.

Automatic.

Step 2: Find members by status

  1. Go to Accounts → Profiles.

  2. Click Status and check the statuses you want to see.

  3. To download the list, click Export.

When no status is checked, the list shows everyone.

Tip: Can't find someone? Clear your filters and search by name again. They may have a status you filtered out, such as Former Member.

Step 3: Change a status yourself

  1. Go to Accounts → Profiles and open the person's profile.

  2. Click the status next to their name.

  3. Choose the new status.

The menu only lists the statuses you can switch to from the current one. For example, a Lead can move to On Trial, Former Trial, Inactive or Former Member.

Tip: Changing a status to Former Member cancels all of the person's memberships, including family memberships. NextKick asks you to confirm first. If you only want to show someone isn't training right now, choose Inactive instead.

Step 4: Send a message when a status changes (optional)

  1. Go to Marketing Tools → Automations.

  2. Create an automation with the Profile Status Changed event.

  3. Choose the status change it should react to, for example On Trial to Former Trial.

See How to Set Up Automations for the full steps.

FAQ

Why is my new member a Lead?
Every newly added member starts as Lead. Their status changes to Active when you add an active membership.

Do I need to change a trial student's status when they join?
No. When you add an active membership, their status changes to Active automatically.

What's the difference between Inactive and Former Member?
Inactive leaves memberships in place. Former Member cancels all of them, so use it only when someone has left your school.

Can I change the status of many members at once?
No. Change each status on the member's profile.

NextKick says an email is already in use, but I can't find the person. Why?
They may already have a profile with another status, such as Former Member. On Accounts → Profiles, clear the Status filter and search again.

I found a duplicate profile. Can I merge them?
No. Accounts can't be merged. Keep one profile and delete the other. See Can I Merge Two Accounts?
