How to Manage Leads and Trial Students

Capture new leads, run trial classes, follow up, and turn trial students into members.

Written by Ben Ryoo

A lead is someone who is interested in your school but hasn't joined yet. This guide shows where leads come from, how to run a trial, and how to turn trial students into members.

Before you start

Step 1: Know where leads come from

  • Lead Capture form: people leave their contact details without signing up. Create one in Marketing Tools → Forms.

  • Trial form: people sign up for one of your trial plans online.

  • Share Trial Link: a link to the classes open to trial students. Find it in Schedule → Class Management.

  • Kiosk: visitors tap Schedule a Trial Class, Start a Free Trial or Leave Your Info.

  • Frontkick and Sidekick: leads from NextKick's website service (Frontkick) and social media marketing service (Sidekick) come in on their own.

  • Zapier: send leads from other tools into NextKick. See Import leads with Zapier below.

  • Added by you: go to Accounts → Profiles → Add Member, then change their status to Lead on their profile if needed.

Tip: Turn on Add Tags to Participants on each form, such as "Facebook Ad" or "Summer Flyer". You can then filter leads by tag to see which source works best.

Step 2: Understand lead and trial statuses

  • Lead: interested, but not on a trial or membership yet.

  • Frontkick Lead: a lead who came in through your website from NextKick's Frontkick website service.

  • Sidekick Lead: a lead who came in through NextKick's Sidekick social media marketing.

  • On Trial: currently on a trial. NextKick sets this automatically when a trial membership is added or the person signs up for a trial.

  • Former Trial: finished a trial but didn't join.

  • Active: a current member. NextKick sets this automatically when an active membership is added.

  • Inactive and Former Member: people who used to train with you.

Step 3: Find your leads

From the Home dashboard

The Leads card lists new leads with their name, email, phone, status and join date. Click a name to open the profile.

From Accounts → Profiles

  1. Go to Accounts → Profiles.

  2. Under Status, choose Lead, On Trial, Former Trial, Frontkick Lead or Sidekick Lead.

  3. Add a Tag filter to see leads from one source.

  4. Click Export to download the list.

Step 4: Set up your trial

  1. Create a trial plan. Go to Settings → Membership Plans → Create Membership and turn on Trial membership.

  2. Create a trial form. Go to Marketing Tools → Forms → Add new form and choose Trial Sign-up. Under Registration, check your trial plan.

  3. Open classes to trial students. In each class, set Trial Enrollment to Trial Only or Trial Available.

  4. Share it. Open the form and click Share to copy the link or download the QR code. You can also click Share Trial Link in Schedule → Class Management to share the classes open to trial students.

When someone signs up through the trial form, or you add a trial membership to their profile, their status changes to On Trial.

Tip: If your trial isn't free, rename the kiosk's Start a Free Trial button. See How to Customize the Kiosk Screen in NextKick.

Step 5: Change a status yourself

On Trial and Active are set for you. For other changes, such as moving someone to Former Trial when their trial ends without joining:

  1. Open the person's profile.

  2. Click the status next to their name.

  3. Choose the new status.

Step 6: Turn a trial student into a member

When a trial student is ready to join, do one of the following:

  • At the front desk: open their profile, go to the Membership tab and click Add Membership.

  • Online: send them the link to your Membership Registration form. Ask them to use the same email as their trial. They verify it with a code, and the membership is added to their existing profile.

Once the membership is added, their status changes to Active automatically. For both ways step by step, see How to Enroll a New Student.

Step 7: Follow up automatically

Go to Marketing Tools → Automations to send messages without doing it by hand. Automations that help with leads include:

  • Website Lead Submitted: when a new lead comes in from a website built by NextKick (Frontkick).

  • Submit intake form: when someone submits an intake form.

  • Profile Status Changed: when a status changes, for example from On Trial to Former Trial.

  • New Member Welcome: when a new member joins.

For a series of follow-up messages, use Marketing Tools → Workflows. A workflow can start when a tag is added to a member.

Import leads with Zapier

Zapier can send leads from your other tools, such as website forms or ad platforms, into NextKick. The Zapier integration isn't publicly available yet. To get access, contact the NextKick team through live chat or at [email protected].

Common questions

How do I see where a lead came from?
Add tags on each form with Add Tags to Participants, then filter by tag. If a member referred them, their profile shows who under Referred by.

Can I turn off email verification on trial forms?
Yes, but we recommend keeping it on. See Why We Recommend Email Verification on Your Forms.

We don't offer free trials. Can I hide the trial button on the kiosk?
