Your schedule has two parts:
Class: what the class is and who can join, such as the name, rank system, ages and trial access.
Schedule: when the class happens, such as the days, time, instructor and capacity.
Set up a class once, then add as many schedules to it as you need. For example, one Kids class can have a Monday/Wednesday 5:00 PM schedule and a Saturday 10:00 AM schedule.
Step 1: Create a class
Go to Schedule → Class Management and click Add Class Template.
Field | What to enter |
Title (required) | The class name families see, e.g. "Kids Taekwondo (Ages 6-9)" |
Description (required) | What the class covers and who it's for |
Rank System (required) | The rank system the class is for. You can also limit it to certain ranks, such as yellow belt and below. |
Join Conditions | Limit who can join by Membership, Group or Age. Leave blank for no limit. See below. |
Attach Image | Optional. One image up to 10 MB (JPG, PNG, GIF or WEBP). |
Calendar Color (required) | The color of the class on your calendar |
Trial Enrollment | Whether trial students can book the class. See below. |
Join Conditions
Only members who meet the conditions can join the class.
Leave a field blank for no limit.
Choosing several options in one field means any one of them qualifies.
When you use more than one field, choose whether members must match all filters (AND) or any filter (OR).
Age is calculated as of today.
Trial Enrollment
Option | What it means |
Not Available | Trial students can't book this class. |
Trial Only | Only leads and trial members can see the class, in the app or through your shared schedule links. |
Trial Available | All members can book the class, and trial students can too. Set a separate Trial Member Limit for trial spots. |
Click Create to save the class.
Step 2: Add the class schedule
Open the class from Schedule → Class Management and click Add Class Schedule.
Choose the schedule type:
One-time: a single class on one date
Multi-day: one class running over consecutive days, such as a camp or trial program
Recurring: a class that repeats every week, such as every Monday and Wednesday
For a recurring class, fill in:
Field | What to enter |
Schedule name | Optional. Leave it blank to use the class name. |
Day of week (required) | The days the class meets |
Time setting | Same time for all days, or Different times per day |
Start Time and Duration (required) | When the class starts and how long it runs |
Start Date and End Date | Enter both, or leave both empty to repeat with no end date |
Instructor (required) | Who teaches the class |
Class Capacity (required) | The most students per class, or check No Limit |
Then choose how students join and book:
Setting | What it does |
Assign Fixed Members | Adds your regular students to every class automatically. Use Assign Members for members and Assign Trial Members for trial students. |
Allow Reservations | Lets students book a spot. Turn it off for open classes that don't need reservations. |
Visible to Students | Shows the schedule in the app. When it's off, the schedule is hidden from the schedule list, but students already registered still see it in My Schedule. |
Reservation Cut-off Time | When booking closes, such as 1 hour before class starts, or a date range |
Click Create. The classes appear on your schedule calendar under Schedule → Schedule List.
Tip: To run the same class at another time, add another schedule to the same class instead of creating a new class.
Step 3: Review your schedule settings
Go to Settings → Schedule. These rules apply to all classes. Individual classes can override the reservation rules.
Setting | What it does |
Enable Cancellation | Lets members cancel their own reservation, up to the Cancellation Window (e.g., 1 day before class) |
Enable Waitlist | Lets members join a waitlist when a class is full. With Auto, the next person is confirmed when a spot opens. With Manual, staff approve or decline each request. |
Reservation Limit | Unlimited, or a set number of reservations per member per week. It doesn't apply to the waitlist. |
Hide remaining spots on the calendar | Hides how many spots are left from members |
Setting | What it does |
Link Schedule to Check-in | Connects class and appointment schedules with check-in |
Walk-In Check-In | Adding a member to a class also checks them in, in one step |
Check-In Without a Class | Members can check in at the kiosk, in the app or with QR attendance even when there's no class to select. When it's off, they must select a class. |
Auto-Add to Matching Classes (Rank Change) | When a member's rank changes, adds them as a fixed member to every recurring class that matches their new rank. Full classes and classes whose join conditions aren't met are skipped. Members are always removed from classes that no longer match their rank, even when this is off. |
Manage Closed Days | Add the days your school is closed, such as holidays and breaks |
How Auto-Add to Matching Classes works
It's off by default. When it's on, a student whose rank changes is added as a fixed member to every recurring class that allows their new rank. This happens with bulk promotion, testing promotion, and when you change a rank on the student's profile. If you run several classes for the same level, for example on different days, the student is added to all of them.
Whether it's on or off, the student is always removed from recurring classes that don't allow their new rank. This applies to unpaid sessions from the next day on, so on the day of the promotion they stay in both classes. Classes that accept both their old and new rank keep them.
See How to link rank systems for more details.
Share your trial classes
In Schedule → Class Management, click Share Trial Link. The link shows only the classes open to trial students, so new families can pick a class and sign up.
Common questions
What's the difference between a class and a schedule? The class is what is taught and who can join. The schedule is when it happens. One class can have several schedules.
How do I put a student in a class every week? Add them under Assign Fixed Members on the schedule. To do this automatically when students are promoted, turn on Auto-Add to Matching Classes in Settings → Schedule.
Why can't a student book a class? Check the class's rank system and join conditions (membership, group and age), and make sure the class isn't full and booking hasn't closed.
Do students need to reserve regular classes? No. Turn off Allow Reservations for open classes. Students can just check in.
How do I close the school for a holiday? Go to Settings → Schedule and use Manage Closed Days.
