How to Add a New Member

Create a member profile, add parent contacts and family members, and get a new student ready for class.

Written by Ben Ryoo

Every student at your school needs a member profile in NextKick. The profile holds their contact details, parents, family members and everything you add later, like memberships and attendance. This guide shows how to add a new member from the admin.

Before you start

  • Moving many students from another system? See Required Information for Student Data Migration. Our team can import them for you.

  • Check that the student isn't already in NextKick. Search for their name under Accounts → Profiles first. Duplicate profiles can't be merged later.

Step 1: Open the Add Member form

  1. Go to Accounts → Profiles.

  2. Click Add Member in the top right.

Step 2: Enter the member's profile

Fill in the Profile section. Fields marked with * are required.

Field

Required

Notes

Photo

No

Click the photo circle to upload a profile picture

Participant First Name / Participant Last Name

Yes

The student's name

Email

Yes

For children, use a parent's email. This email is also the member's login for the NextKick app.

Phone

Yes

Choose the country code, then enter the number. For children, use a parent's phone.

Date of Birth

No

Gender

Yes

Male, Female or Prefer not to say

Address

No

Country, address, city, state and zip code

Tip: Gender is set to Male by default. Check it before you save.

Step 3: Add parent contacts

For children, add at least one parent or guardian.

  1. Under Parents Contacts, click +.

  2. Enter the parent's First Name, Last Name, Relationship, Email and Phone. All five are required once you add a parent.

  3. To add another parent, click + again. To remove one, click the trash icon.

Relationship options are Father, Mother, Stepmother, Stepfather, Guardian, Grandparent, Sibling, Aunt/Uncle and Other.

Step 4 (optional): Add siblings or other family members

If a brother, sister or parent is also enrolling, add them in the same form.

  1. Click Add family member.

  2. Under Family Member Profile, enter their First Name, Last Name, Phone and Gender. Date of Birth is optional.

  3. Click Add family member again for each additional person.

Each family member gets their own profile, linked to this member. Family members share this member's email and app login, so they don't need their own email address.

Step 5 (optional): Record who referred them

Under Friend referral, search for the existing member in Referred by.

Step 6: Save the member

Click Add. The new member appears in your Profiles list with the status Lead.

NextKick also sends the member a welcome email. To turn it off or change the message, go to Marketing Tools → Automations.

Next steps

The member is in NextKick, but there are a few more steps before their first class:

Tip: For the whole enrollment, including letting families sign up and pay online, see How to Enroll a New Student.

Add a family member to an existing member

If a sibling joins later, link them from the current member's profile:

  1. Go to Accounts → Profiles and open the member.

  2. Click the pencil icon next to Family Members.

  3. Click Actions, then choose:

    • Add new member to create a new profile for the family member.

    • Select from members to link someone who already has a profile.

FAQ

Which fields are required? First name, last name, email, phone and gender. If you add a parent contact, their name, relationship, email and phone are required too.

Siblings don't have their own email. What should I do? Add them with Add family member (Step 4). Family members share one email and sign in to the NextKick app with the same login.

I added the same student twice. Can I merge the profiles? No. Delete the duplicate profile instead. See Can I Merge Two Accounts?

Can I add many students at once? Yes. Send our team your student list with each student's name, date of birth, email, phone, gender, address, rank system and rank, and we'll import it for you. See Required Information for Student Data Migration.
