Payment and Invoice Statuses, Explained

What each status on Payments → Transactions and on invoices means, how long card and bank payments take, and where failed payments go.

Written by Ben Ryoo

Payments and invoices in NextKick each have a status. This guide explains what each status means, why a bank payment can say Processing for several days, and where to find payments that failed.

Before you start

Step 1: Read a payment's status in Payments → Transactions

Payments → Transactions lists payments that went through or are on their way. Use the Payment status filter to show one status.

Status

What it means

Paid

The payment went through. Card payments show Paid right away.

Processing

A bank (ACH) payment has started, but the bank hasn't confirmed it yet. It usually takes 3 to 5 business days. It can still fail during this time.

Refunded

The full payment was refunded.

Partial Refund

Part of the payment was refunded.

Failed charges don't appear here. They're in Payments → Transaction Errors (Step 3).

Step 2: Read an invoice's status

Payments → Invoices shows totals for Paid, Pending, Overdue and Refunded invoices at the top. Each invoice's status is in the Payment status column, and on the student's Invoices tab.

Status

What it means

Pending

Not paid yet, and not past its due date.

Overdue

Not paid by its due date.

Part Paid

Some of the amount has been paid.

Paid

Paid in full.

Voided

Cancelled before anyone paid it. Only unpaid invoices can be voided.

Refunded

The invoice was paid, then fully refunded.

Partial Refund

The invoice was paid, then partly refunded.

To refund or void an invoice, see How to Refund or Void an Invoice in NextKick.

Step 3: Find payments that failed

  1. Go to Payments → Transaction Errors.

  2. Check the Error Reason for each payment.

  3. Follow the steps in How to Fix a Failed Payment.

A bank payment can still fail after it showed Processing, for example for lack of funds. See Why Did a Bank (ACH) Payment Fail? What to Do

Step 4: Know which "pending" you're looking at

The word pending shows up in three places, and each means something different.

Where you see it

What it means

An invoice's status

The invoice hasn't been paid yet.

Payments → Memberships, Full Payment tab

A pay-in-full membership hasn't been paid yet.

The family's bank or card statement

A temporary hold, for example from a declined charge. It drops off on its own after a few days.

FAQ

How long do card and bank payments take to reach my bank account?

Card payments are deposited the next business day and usually arrive the morning of the second business day. Bank (ACH) payments usually take 3 to 5 business days. See Payments FAQ.

Can I refund a payment that's still Processing?

Yes, starting 24 hours after the payment started.

What if a bank payment still says Processing after a week?

Bank payments can take up to 7 business days. If one still says Processing after 7 business days, contact NextKick support.

A family sees a pending charge, but NextKick shows nothing. Why?

It's usually a hold from a declined charge, not a payment. Check Payments → Transaction Errors. If NextKick has no record of it, ask the family to check with their bank.
