NextKick sends your online payments to your payment processor, which moves the money to your bank. This FAQ answers the questions schools ask most about deposits, fees, taking cards in person and chargebacks.
Before you start: check your processor
Go to Settings → Payments → Payment Settings. Under Online payments, each method shows Processed by and the processor's name. Card payments and bank (ACH) payments can use different processors.
Many answers below depend on your processor. To set one up, see How do I connect a payment provider?
Deposits
When does the money reach my bank account?
Card payments are deposited the next business day, so the money usually reaches your bank account on the morning of the second business day. For example, card payments from Monday usually arrive Wednesday morning. Bank (ACH) payments usually take 3 to 5 business days.
Is the deposit the full amount families paid?
It depends on your processor. Stripe takes its fees out before depositing, so each deposit is the total paid minus fees. Bluu deposits the full amount, then withdraws its fees from your bank account at the beginning of each month.
How do I change the bank account my deposits go to?
It depends on your processor:
Bluu: contact NextKick support and send us the new bank account details.
Stripe: change it yourself in your Stripe Dashboard, in the Bank accounts and currencies settings. Only Stripe users with Admin or Owner access can change it.
If card and bank payments use different processors, update each one.
A parent says they were charged, but I don't see the payment. Why?
Check the student's Invoices tab and Payments → Transaction Errors. If the payment failed, the parent's bank may still show it as pending for a few days before it drops off. If NextKick has no record of it, ask the parent to check with their bank.
Fees and statements
Where do I see my processing fees?
In your processor's online portal:
Bluu: sign in to the merchant portal at merchant.mymerchantinfo.net with your merchant email to see your statements. The first time you sign in, you also need your merchant ID number. Ask NextKick support for it.
Stripe: sign in to your Stripe Dashboard and go to Reports → All fees, or open a payment to see its fee.
Monthly fees, such as account or compliance fees, come from your agreement with the processor. If a fee doesn't match your agreement, contact NextKick support.
Can families pay the card fee instead of my school?
Yes. Add a convenience fee in Settings → Payments → Fees. It's optional, and you can set separate rates for card and bank payments.
A new rate applies to memberships added after you save. Existing memberships keep the rate they were added with. Change one with Actions → Edit billing schedule.
When a membership's payment method changes, the current rate applies.
Don't use the plan's tax field for card fees.
Taking payments in person
Does NextKick work with a card terminal or card reader?
No. NextKick doesn't sell or connect to card terminals or readers, and it doesn't support Tap to Pay. A card swiped on a reader can't be saved to a profile.
I charged a card on my own terminal. How do I record it in NextKick?
Open the invoice and click Pay Now.
Choose In-House Credit Card.
Finish recording the payment.
In-House Credit Card only records the payment. It doesn't charge anything, so the invoice shows as paid without a second charge.
How do I charge a card through NextKick at the front desk?
Add the card on the student's profile with Payment Info → Add New Credit Card, then pay the invoice with that card. Families can also add a card themselves in the student app or with a payment update link. See Send a Payment Update Link.
What about cash and checks?
Record them with Pay Now on the invoice. For families who always pay in person, use Auto Invoice. See What Is Auto Invoice? How It Differs from Autopay.
Chargebacks
What is a chargeback?
A family disputes a charge with their card company. The processor takes the amount back from your account, plus a dispute fee, while the card company reviews it.
How do I respond to a chargeback?
Contact NextKick support within 5 business days, through live chat (the chat icon at the bottom right of NextKick) or at [email protected]. Send:
The signed membership agreement. Use Actions → Email signed agreement on the membership, or check the student's Documents tab.
The invoices for the disputed charges, from the student's Invoices tab.
The student's attendance, from the Attendances tab. Click Export to download it.
NextKick submits the evidence to your processor.
What does a chargeback cost?
It depends on your processor:
Stripe: a $15 dispute fee for each chargeback, which isn't returned even if you win. Responding to a card chargeback adds another $15, which Stripe returns if you win.
Bluu: $25 for each chargeback.
If you win, the disputed amount comes back to your account.
A dispute on a bank (ACH) payment usually can't be contested. Contact the family directly to sort it out.
How can I avoid chargebacks?
Make sure every family signs the membership agreement, and that it includes your cancellation policy. Families who know what they'll be charged, and how to cancel, are less likely to dispute.
A bank payment shows as returned. Is that a chargeback?
Usually not. A bank payment that fails, for example for lack of funds, is returned. See Why Did a Bank (ACH) Payment Fail? What to Do.
Refunds
How long does a refund take to reach the family?
Card refunds usually take 3 to 5 business days. Bank (ACH) refunds usually take 5 to 10 business days.
Can I refund a payment from months ago?
Refunds for payments more than a month old need the card number and expiration date. See How to Refund or Void an Invoice in NextKick.
