How to Rename, Retire or Delete a Membership Plan

Rename a membership plan, stop offering it on your forms, move members to a new plan, and delete plans no one is on.

Written by Ben Ryoo

Your membership plans are in Settings → Membership Plans. This guide shows what changes when you edit or rename a plan, how to stop offering one, how to move members to a new plan, and when you can delete a plan.

Before you start

What changes when you edit a plan

What you change

Who it affects

The plan's name

Every member on the plan.

Price, frequency, term, expiry or auto-renewal

Only memberships added after the change. Existing memberships keep their settings.

Item names on past invoices

These can't be edited.

To update a student who's already on the plan, use one of these on their membership:

Step 1: Rename a plan

  1. Go to Settings → Membership Plans.

  2. Open the plan, click Edit, and change the Membership Name.

  3. Click Save.

The new name shows for every member on the plan. Item names on invoices that were already created don't change.

Tip: Need a different name on invoices from now on, such as "Monthly" instead of "Annual" for a reimbursement program? Create a new plan with that name and move members to it (Step 3).

Step 2: Stop offering a plan on your forms

Families can choose a plan online when it's connected to one of your forms. To stop new families from choosing it:

  1. Go to Marketing Tools → Forms and open a form that offers the plan.

  2. Edit the form.

  3. Uncheck the plan in the form's list of memberships, then save the form.

  4. Repeat for each form that offers the plan.

Families only see the plans checked on a form. The kiosk also only shows plans that are checked on a Membership Registration form. See How to Create a Sign-up Form.

Step 3: Move members to a different plan

  1. Create the new plan, or edit the plan they should move to.

  2. Open a student's profile and click the Membership tab.

  3. If auto-renewal is on, turn it off in Actions → Auto-renewal settings. Replace doesn't work while it's on.

  4. Click Add Membership and choose Replace.

  5. Under Current membership, select their membership, then choose the new plan.

  6. Check the start date and billing, then click Confirm & Create.

The old membership ends on the new membership's start date. For every field, see How to Add, Renew, or Replace a Membership.

Step 4: Delete a plan

  1. Go to Settings → Membership Plans.

  2. Check the plan's User Count. You can only delete a plan when it's 0.

  3. Open the plan and click Delete at the bottom of the page.

A plan that anyone is on can't be deleted. Move its members to another plan first (Step 3).

FAQ

If I change a plan's price, do current students pay the new price?

No. Changes only apply to memberships added afterwards. Change each current student with Actions → Edit billing schedule.

Can I change the item name on an invoice that was already created?

No. To use a different name going forward, create a new plan and move members to it.

Why can't I delete a plan?

Someone is still on it. Check the User Count, move those members to another plan, then delete it.
