How to Charge Sales Tax and See the Tax You Collected

Set a tax rate on plans, events, belt tests, products and charges, then see and export the tax you collected.

NextKick doesn't use one school-wide tax rate. You set a tax rate on each plan, event, belt test, product or charge, and then see everything you collected on one report. This guide covers both.

Before you start

  • Check which of your services and products are taxable in your state and city. NextKick can't advise on tax rules.

  • To pass card or bank processing costs on to families, use a convenience fee instead of tax. See Convenience Fees and Late Fees.

Step 1: Set the tax rate where you charge

Enter the rate in the tax field of each item you charge tax on. It's called Tax rate (%) on membership plans and Tax (%) everywhere else:

What you charge for

Where to set the tax rate

Membership plans

Membership Management → open the plan → Edit → Tax rate (%) for each payment type, such as Full Payment and Autopay

One student's membership

Membership tab → Actions → Edit billing schedule → Tax (%)

Events

Add Event → Tax(%). The rate applies to every session in the event.

Belt tests

Create Testing → Tax (%)

eStore products

The product's page → Tax (%)

One-time charges

The payment or invoice form → Tax (%)

Tip: Enter 0 for anything that isn't taxable. On membership plans the tax field is required, so it can't be left empty.

Step 2: See the tax you collected

  1. Go to Payments → Tax & convenience fees.

  2. Choose a date range. You can also filter by Payment Type or search for a member.

The report counts paid invoices only. The cards at the top show:

Card

What it shows

Total collected

Everything collected, including tax and excluding convenience fees

Payment amount

What was collected before tax

Avg. effective rate

Tax divided by the pre-tax amount

Tax to remit

Tax collected in this period, after refunds, to set aside and pay to your tax authority

Convenience fees

Card and ACH convenience fees collected in this period, after refunds

The table below lists each payment with its date, member, invoice number, payment type, amount, tax, convenience fee and total.

Step 3: Export the report for your bookkeeper

  1. Set the date range you need, for example last month or last quarter.

  2. Click Export. The report downloads as an Excel (.xlsx) file.

FAQ

Is there one tax setting for my whole school?

No. Set the rate on each plan, event, belt test, product or charge (Step 1).

Does NextKick pay sales tax for me?

No. The report shows how much tax you collected, so you can pay it to your tax authority.

I changed a plan's tax rate. Do current members pay the new rate?

No. Memberships already on the plan keep their old tax rate. The new rate applies to memberships you add after the change.

What happens to the tax when I refund a payment?

Its tax is taken out of Tax to remit on the report.
