How to Use Store Credit

Add or deduct store credit on a member's account, use it to pay, and see every change in the credit history.

Store credit is a balance on a member's account that can pay for invoices and purchases. Use it to give a refund as credit, hold an overpayment, or reward a member. This guide shows how to add, use and track store credit.

Step 1: Open a member's store credit

  1. Go to Accounts → Profiles and open the member.

  2. Click the Store Credit tab.

You'll see the Store Credit Balance and the history of every change.

Step 2: Add store credit

  1. Click Add.

  2. Enter the Amount.

  3. Enter a Reason, such as "Refund for cancelled event" or "Referral reward". The reason shows in the history.

  4. Click Add.

Step 3: Deduct store credit

To take credit away, for example if it was added by mistake:

  1. Click Deduct.

  2. Enter the Amount and a Reason. You can't deduct more than the current balance.

  3. Click Deduct.

Step 4: Pay with store credit

  1. On the member's profile, open the Invoices tab and click Add Payment, or pay an existing invoice.

  2. Under Store Credit, you'll see how much is available. Enter the amount to use, or click Use max.

  3. Check the Payment Summary. The store credit is taken off the total.

  4. If there's still an amount left to pay, choose a payment type for the rest.

  5. Click Pay Now.

If the store credit covers the full amount, no payment method is charged.

Note: If you choose In-House Payment, store credit can only be used right away when it covers the full amount. To use part of it, leave Store Credit empty and apply it later when you pay the invoice.

Step 5: Track store credit

On the Store Credit tab, filter the history by type:

  • Add: credit you added.

  • Deduct: credit you removed.

  • Used: credit used to pay.

  • Refund: credit returned when a payment made with store credit is refunded.

Each entry shows the amount, the balance after the change, the reason, who made it and when.

Members can use their store credit too. If they have a balance, it shows on the payment page when they pay. In the history, By shows the member's name when they used it themselves.

Store credit and autopay

  • Auto Invoice: members can pay their invoices with store credit.

  • Credit card autopay: store credit can't be applied. The card is charged as scheduled.

Store credit and revenue

Payments made with store credit aren't counted in revenue, on your Home dashboard or in your payment reports. They're shown for reference only.

Common questions

Can I use part of a member's store credit?
Yes. Enter any amount up to the available balance.

Can store credit pay for autopay?
Only with Auto Invoice. It can't be applied to credit card autopay.

Why doesn't my revenue include store credit payments?
Store credit isn't new money coming in, so it's left out of revenue.

Can I give store credit as a reward?
Yes. For example, add credit when a member refers a friend. See How to Set Up Friend Referrals.
