The Leads page shows every lead in one place: where each one stands, who needs a follow-up, and how many enroll. This guide covers the Lead list, a lead's details, and the Overview.
Before you start
In the left menu, open Leads. It has two pages: Overview and Lead list.
Leads come in from your sign-up forms, trial link, website and events, or when staff add a member as a lead. To add leads and book trials, see How to Manage Leads and Trial Students.
Staff need access to Leads on their Access Control tab. Give front desk staff Full Access so they can log contacts and update leads. See Staff Permissions: What Each Access Control Setting Covers.
Leads that came in before lead tracking started may show fewer details, such as missing dates or days in stage.
Step 1: Find leads that need a follow-up
Go to Leads → Lead list and choose a view at the top left:
Current leads: everyone with a Lead, On Trial, Event, FrontKick Lead or SideKick Lead status, with a Needs attention column.
Leads in period: every lead that came in between the dates you pick, with an Outcome column.
Each row also shows the lead's Status, Stage, Source, Days in stage, Came in and Last contacted. Use the filters to narrow the list, or use Search by name.
The Needs attention column flags leads that need a next step:
Flag | What it means | Next step |
Not contacted yet | 48+ hours since the lead came in, with no contact logged. | Contact them |
Trial no-show | Missed or cancelled their latest trial, with no new booking. | Rebook the trial |
Trial, not enrolled | 7+ days since a trial, still not enrolled. | Follow up |
Stalled | In the same stage for 30+ days. | Review the lead |
Step 2: Understand stages and outcomes
Each lead moves through four stages: New → Contacted → Trial → Enrolled.
The stage moves on its own when you log a contact, the lead books a trial, or they enroll. You can't change it by hand.
Skipped means the lead moved past a step without doing it, for example enrolling without a trial.
The Outcome is In progress, Enrolled or Lost.
Step 3: Open a lead
Click a lead on the list to open it.
Stage shows the date the lead reached each stage and how many days they've been in the current one.
Lead info shows their phone and email, their Source, and follow-up details: Outcome, Contacts logged, Last contacted and Last automated message (updated once a day).
Activity lists everything that happened with the lead: contacts staff logged, automated messages, trial bookings and status changes. Filter it by Contacts, Messages, Trials or Status changes.
To open their member profile, click Actions → View member.
Step 4: Log a contact
Log every call, text, email or visit so your team knows who has been contacted.
On the lead's page, click Log contact.
Choose the Contact method: Call, Text, Email, In person or Other.
Check the Date. It's set to the current date and time, so change it if you contacted them earlier. It can't be in the future.
Add a Note about what you talked about (optional), then click Save.
A New lead moves to Contacted, and the contact counts update right away. If you logged a contact by mistake, click the trash icon next to it in Activity.
Step 5: Edit a lead's source
The source shows where the lead came from. To change it, click the pencil icon next to Source on the lead's page and choose Website form, FrontKick, SideKick, Event, Referral, Walk-in, Phone call, Trial link, Added by staff or Other.
Tip: Leads with no source show as Unassigned. Set a source for them so Conversion by source on the Overview is accurate.
Step 6: Mark a lead as lost
Open the lead and click Actions → Mark as lost. To mark several leads at once, check the box next to each lead on the Lead list, then click Mark as lost.
Choose a Reason: No response, Price, Location, Schedule, Chose another school or Other. Add a Note when the reason is Other.
Click Save.
The member's status changes to Former Trial or Inactive automatically, and the lead's page shows the date and reason. Marking a lead as lost doesn't delete the member.
To reverse it, open the lead and click Actions → Undo lost. Their status goes back to what it was before.
Step 7: Add leads to a workflow
Send leads into a workflow, such as a follow-up email and text series.
Create an active workflow that starts with When staff add a lead from the Leads screen. See How to Build a Workflow.
On the Lead list, check the box next to each lead, then click Add to workflow. For one lead, you can also open it and click Actions → Add to workflow.
Choose the workflow.
Check how many leads can be added and how many will be skipped, then confirm.
Messages start sending to everyone you added right away. There's a limit on how many leads you can add at a time, and NextKick tells you if you select too many.
Step 8: Check your results on the Overview
Go to Leads → Overview and choose a period: This Month, Last Month, This Year, Last Year or Custom Range.
Section | What it shows |
Leads that need attention | How many leads have each flag right now. The period you pick doesn't change these numbers. Click View all leads to open the Lead list. |
New leads | Leads that came in during the period. |
Enrolled | How many of the period's new leads enrolled. |
Conversion rate | Enrolled leads ÷ new leads, compared with the previous period. |
Conversion funnel | How many of the period's new leads reached each stage. Leads can skip a step, so a later step can be larger than the one before it. |
Outcome | Enrolled, lost and in-progress leads. Lost counts only leads staff marked as lost. |
Conversion by source | For each source, how many of the period's new leads enrolled. |
New leads and enrollments | A chart of new leads and enrollments over the period. |
Common questions
Why can't I change a lead's stage?
The stage moves on its own when you log a contact, the lead books a trial, or they enroll. To move a New lead to Contacted, log a contact.
Why are some dates or days in stage missing?
Leads that came in before lead tracking started don't have a full history, so some dates may be missing.
Why can't I open a lead?
If the member no longer has a profile, the list shows Unknown member and the lead can't be opened.
Why isn't my workflow listed when I add leads?
Only active workflows that start with When staff add a lead from the Leads screen are listed. Turn the workflow on, then try again.
Does marking a lead as lost delete them?
No. The member stays in NextKick, and their status changes to Former Trial or Inactive. Click Actions → Undo lost to reverse it.
