Leads

Follow up with every lead in one place

The new Leads page shows where each lead stands: New, Contacted, Trial or Enrolled. NextKick flags leads that need a next step, such as leads with no contact 48 hours after they came in, trial no-shows, and trial students who haven't enrolled after 7 days. Open a lead to log a call, text, email or visit, see their activity, edit their source, mark them as lost, or add them to a workflow.

Where: Leads › Lead list

Lead overview

See new leads, enrollments and your conversion rate for any period, with a conversion funnel and the enrollment rate for each lead source.

Where: Leads › Overview

Members & student app

Parents can log in with their own email

Give a parent their own student app login. Turn on App login for the parent and set a password. They sign in with their own email, see their children's profiles, and the app shows Signed in as guardian with their name.

Where: Accounts › Profiles › open the student › Member Info › Member details › Edit › Parents Contacts › App login

Student app QR code and printable poster

Help families get the app right at the front desk. One QR code opens the App Store on iPhones and Google Play on Android phones. Copy the download link, or save a one-page PDF with the QR code to post at your school.

Where: Your profile menu at the top right › Student App QR

Larger QR code labels

Print QR code labels in a Large size for Avery 5162 sheets (4" × 1⅓", 14 labels per sheet), as well as the Standard Avery 5160. NextKick remembers the size you used last on that computer.

Where: Accounts › Profiles › select students › Actions › Download QR code labels › Label Size

Filter by status when adding group members

When you add members to a group, you can now filter the list by Status.

Where: Accounts › Groups › Add Group Members

Home & attendance

Attendance on your home dashboard

See check-ins for Today, the Last 30 days and This month in Member Overview. Schools with an after-school program also see After School Attendance. Click a number to open Attendance History for the same dates. The numbers count check-ins, not students.

Where: Home › Member Overview › Attendance

Calendar opens at your first class

The Week and Day views now open at the earliest class of that week or day instead of 12 AM. Scroll up to see earlier hours. Today's Day view still opens at the current time. Tests now show at their actual time, like classes.

Where: Schedule calendar › Week or Day

See attendance by student

Attendance History has a new By student view. It groups check-ins by student and shows each student's number of check-ins and last check-in. Switch to By check-in to see every check-in. You can also pick Last 30 days as a quick date range.

Where: Attendance › Attendance History › By student

Messaging

One message, many 1:1 chats

Pick students from a list, or click Select all, and each student gets the message in their own 1:1 chat. Choose a group instead to send one group chat.

Where: Communications › Conversations › Live Chat › New message

Copy announcements

Copy an announcement to reuse it. The copy stays hidden from students until you save it, so you can update the dates and text first.

Where: Communications › Announcements › copy icon on the announcement

Find any text conversation

The Text (SMS) tab now shows how many conversations you have and searches all of them by name or phone number.

Where: Communications › Conversations › Text (SMS)

See who opted out of texts

When a member replies STOP to one of your texts, NextKick now marks their number as SMS opted out, with the date. When you send a text, NextKick tells you how many recipients won't receive it. To get texts again, the member must text START from the same number. Admins can't turn it back on. You can also filter members by Text delivery to see who opted out.

Where: Member profile, and when you send a text

eStore

Your own product categories

Add, rename, delete and reorder your eStore categories. Families see the same categories, in the same order, as filters in the student app. Your current Uniform, Equipment and Other categories stay as they are.

Where: eStore Products › Manage Categories

Options in the orders list

The orders list and Export now show the options and quantity of each item, such as "Uniform (White: M) × 2", so you don't need to open each order.

Where: eStore Orders

Track cost and profit

Enter what you pay for a product in the new Cost field, or set a different cost for each option. NextKick then shows the profit per item and the total profit from paid orders placed after you entered the cost. Profit uses the list price before tax. Coupons, credits and fees aren't included. Students never see your cost.

Where: eStore Products › add or edit a product › Cost

Put items back in stock

When you refund an invoice that includes eStore items, choose how many of each item to put back in stock. To cancel an order that hasn't been paid, void its invoice. Voiding puts the items back in stock automatically.

Where: When you refund an invoice › Restore inventory

Events & testing

Event export with payments

Export a whole event in one file. You get a sheet for each session with each student's session fee, and a Payments sheet with the registration fee, late fee, discount, total and amount paid for each invoice.

Where: Event › Candidates › Actions › Export

Mark invited students as paid

For invite-only tests, select Invited students and change their status to Paid when they pay cash on the day. NextKick creates the invoice and records the cash payment without emailing the family.

Where: Testing › Candidates › Status update › Paid

Add payment from the candidate list

Students without an invoice, such as those promoted without registering, now have Add payment in the Invoice column. It opens a payment window with the testing fee already filled in.

Where: Testing › Candidates › Invoice column › Add payment

Payments

See which memberships a new card will pay for

When you add a card or bank account for a member, or make one the default, NextKick lists each membership that will switch to it, with its next payment date. Click Apply to Memberships or Not now. Memberships paid by cash, check or store credit don't change. Families see the same list in the student app.

Where: Member profile › Payment Info › add a payment method, or ⋮ › Set Default

Staff & workflows

Copy clock-in records to other days

Copy a staff member's shift to other days in one step. Days that already have a record at that time are locked. Only the school owner can copy records.

Where: Staff › Clock-In / Out › open a record › Copy to other days

Access levels for new staff

New staff now get default permissions based on their role, with two new access levels: Business Manager for Managers and Program Lead for Masters. Existing staff keep their current permissions. Only the school owner can change staff permissions.

Where: Staff › Staff Members › Add staff

Build a workflow by describing it

Describe what you want in plain words, such as "When the status changes to Lead, send a welcome email, then a text 3 days later," and AI drafts the workflow for you. Check what AI decided, then open it in the editor. To change a workflow later, click Edit with AI and describe the change. The workflow is saved as a draft, and nothing goes out to members until you save and activate it.

Where: Marketing Tools › Workflows › Add workflow › Describe what you want in words

Grant a rank in a workflow

The new Grant rank step gives members a rank automatically, such as a white belt when they sign up. Members who already have that rank, or a higher one in the same rank system, are skipped. Ranks are never lowered.

Where: Marketing Tools › Workflows › open a workflow › add a step › Grant rank

Add leads to a workflow

Select leads on the Lead list and click Add to workflow. The workflow must be active and start with When staff add a lead from the Leads screen.

Where: Leads › Lead list › Add to workflow

Start a workflow from a text keyword

Choose When a member texts a keyword as the start and enter a word, such as TRIAL. The workflow starts when a member texts just that word to your school's number. Upper and lower case don't matter. Opt-out and help words like STOP or HELP can't be used. Your school needs a texting number (two-way SMS) for this to work.

Where: Marketing Tools › Workflows › open a workflow › Start › When a member texts a keyword

Choose the form and check age

A workflow that starts when a form is submitted can now start from one form you choose. Leave it empty to start on any form. A new condition, Is the age within a range?, sends members down the Yes or No path by age.

Where: Marketing Tools › Workflows › open a workflow › Start, or add a Condition

Support chat in the workflow editor

Ask our AI support assistant a question while you build a workflow. The chat button now shows in the workflow editor too, and moves aside when a step's settings are open.

Where: Marketing Tools › Workflows › open a workflow › chat button at the bottom right

New names

  • Class Management is now Program Management. Add Class Template is now Add Program, and New Class in Create Schedule is now New Program.

  • After School: a parent's no-pickup request now shows as No Ride, and the student app button is now Request No Pickup.
