Why Can't a Student Check In or Book a Class?

Match the message a student sees at the kiosk, in the app or when booking to its cause, and fix it.

Written by Ben Ryoo

When a student can't check in or book a class, NextKick shows a message that names the problem. Find the message below, then fix the cause. Most problems come from the student's membership, their rank, or the class's settings.

Why it happens

What to do

Membership Required

The student has no active membership.

Add a membership on the student's Membership tab.

Membership has expired

The membership is past its end date.

Renew it with Add Membership → Renewal, or extend it with Actions → Change end date. See Membership Renewals, Explained.

Membership was canceled

The membership was canceled.

If the student is coming back, add a new membership.

Membership ended due to a payment issue

Autopay failed 8 times in a row, so the membership became inactive.

Get a working card on file and apply it to the membership, then click Actions → Activate membership. Collect missed payments with Pay Now. See How to Fix a Failed Payment.

No Class Credits Left

The student used every class credit, so the membership ended.

Add a new class credit membership, or add credits with Actions → Edit class credits. Staff can't add attendance by hand until the student has credits.

Rank Required

The student has no rank.

Add a rank on the student's Ranks tab. See How to Change a Student's Rank System.

Daily Check-in Limit Reached

The student reached Limit check-ins per day.

Add the attendance by hand, or change the limit in Settings → System & Security → Check-in.

Attendance Limit Reached

The student reached their membership's weekly or monthly limit.

Staff can tap Force Check-in at the kiosk if Allow override when a limit is reached is on. To change the limit, see below.

No Class to Check In

Check-In Without a Class is off, and there's no class the student can check in to today.

Add the student to today's class, or turn on Check-In Without a Class in Settings → Schedule.

This student is currently inactive.

The student's status is Inactive, usually because they don't have an active membership. Staff can also change a student's status by hand.

Add or renew a membership on the student's Membership tab. Staff can still add attendance by hand.

Face Recognition Consent Required

The family hasn't given consent for face recognition in the student app.

Ask the family to give consent in the app. The student also needs a profile photo. Until then, the student can check in by name, PIN or QR code.

Location permission required or Location check required

The student is checking in from the app, and Require members to be at the school is on.

The student allows location on their phone and checks in at the school. See How do I let members check themselves in from their phone?

These messages don't stop the check-in. The attendance still counts:

  • Membership Payment Issue: a payment on the student's membership failed, and the message shows the reason. Get a working card or bank account on file. See How to Fix a Failed Payment.

  • Action Needed Before Check-In: the student's membership agreement isn't signed. Send the agreement to the family again by email, or print it, have the family sign it, and upload it with Actions → Upload signed agreement.

  • Please Visit the Office: your staff turned on Check-in Alert for the student. To turn it on or off, open the student's profile and click Manage member → Check-in Alert.

  • Membership Expiring Soon: the membership ends soon. Set when this starts with Remind members before their membership expires.

Why a class doesn't show up at check-in

At the kiosk and in the app, students choose from today's classes they can attend. A class doesn't appear when:

  • The student's rank isn't in the class's rank system or ranks.

  • The student doesn't meet the class's Join Conditions (membership, group or age).

  • The class has already ended today.

  • The day is a closed day.

If the student has no class booked today and Walk-In Check-In is on in Settings → Schedule, the kiosk offers today's classes they can book and check in to in one step.

If the student checks in without choosing a class, the check-in counts toward their attendance, but not toward a class.

Step 1: Check the class's rank system and ranks

  1. Go to Schedule → Class Management and open the class.

  2. Click Actions → Edit.

  3. Click Rank System. Check each rank system the class is for.

  4. Click the arrow next to a rank system to choose its ranks. Only the checked ranks can join.

  5. Check Join Conditions. Leave a field blank for no limit.

  6. Click Save.

  • When a student has more than one rank system, they need a rank in one of the class's systems.

  • After a promotion, students are removed from recurring classes that don't allow their new rank. Add them to the class for their new rank, or turn on Auto-Add to Matching Classes in Settings → Schedule. See How to link rank systems.

  • When you add members to a class, students without a rank in its rank system can't be added.

Step 2: Change one student's attendance limit

  1. Open the student's profile and click the Membership tab.

  2. Click the membership to expand it, then click Actions → Edit attendance limit.

  3. Turn on Unlimited, or set the number of sessions per week or per month.

  4. Add a Note, such as "Make-up classes in March," and click Update.

  • Attendance is counted per student, not per membership. If any of the student's memberships is unlimited, the student has no limit.

  • Changing the limit on a membership plan only affects memberships added after the change. Update existing students one by one here.

Step 3: Check excluded statuses

  1. Go to Settings → System & Security and open the Check-in tab.

  2. Under Front desk kiosk, open Exclude member statuses from check-in.

  3. Members with a checked status can't check in at the kiosk. Uncheck a status to let them check in.

Staff can still check excluded members in from the attendance page.

Booking messages

These appear when a student books a class in the app or through a booking link.

FAQ

A student checked in, but they're not on the class attendance. Why?

They checked in without choosing a class. The check-in shows in Attendance → Attendance History, but not on the class. To require a class, turn off Check-In Without a Class in Settings → Schedule.

Can I check in a student for a past date?

Yes, one at a time. Open the student's Attendances tab and click Add Attendance. Group check-in from Bulk Actions is for today only.

Students we moved from another system can't check in. Why?

Every student needs a membership and a rank to check in. Add both, or ask NextKick support to add them for many students at once.

Can I set different check-in rules for one student?

Only the attendance limit (Step 2). Other check-in rules apply to everyone. Staff can also add attendance by hand.
